Privacy Policy
GetKlosed is currently in private beta. Access is limited to authorized users only. This policy describes how we handle data for those users.
Who we are
GetKlosed ("we", "us", "our") is operated by Mohanad Mohamed, an individual based in Ontario, Canada. GetKlosed provides an AI-powered lead management service for real estate agents ("the Service").

What data we collect
To provide the Service, we access and process the following data on behalf of authorized users who have granted explicit consent:
- Gmail account data: We access your Gmail inbox via Google OAuth to read, send, and manage email messages related to real estate lead communications. This includes email content, sender and recipient addresses, message threads, and email metadata.
- Google Sheets data: We read from and write to a designated Google Sheet you control, which serves as the lead tracking database for the Service.
- Lead contact information: Names, email addresses, and phone numbers of your leads, as provided in your lead tracking sheet or inbound emails.
- Configuration data: Your persona settings, communication preferences, and service configuration stored locally on the server running the Service.
How we use Google user data
GetKlosed's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, data accessed through Google APIs is used solely to:
- Read inbound lead reply emails from your Gmail inbox to classify and respond to them on your behalf
- Send email replies drafted by the Service from your Gmail account, with your review and approval
- Manage email labels and thread state as part of lead workflow management
- Read and update your designated Google Sheet to track lead status and conversation history
We do not use Google user data to serve advertisements, train AI models beyond the immediate operation of the Service, or share data with third parties except as described in this policy.
Google OAuth scopes we request
When you authorize GetKlosed, we request the following Google OAuth scopes:
- https://www.googleapis.com/auth/gmail.modify: to read, send, and manage email labels in your Gmail account
- https://www.googleapis.com/auth/spreadsheets: to read and update your lead tracking Google Sheet
We request only the scopes necessary to operate the Service. You may revoke access at any time through your Google Account permissions page.
How we store and protect your data
Your Google OAuth refresh token is stored in an encrypted configuration file on the server running the Service. Email content and lead data processed by the Service is not stored persistently beyond what is written to your Google Sheet. The sheet is your database, and you own it.
We use Anthropic's Claude API to classify and draft email content. Email content sent to the Claude API is processed in accordance with Anthropic's Privacy Policy. We do not send your Google Account credentials or OAuth tokens to Anthropic.
We use Twilio to send SMS notifications to you (the agent). Lead contact information included in those SMS messages is processed in accordance with Twilio's Privacy Policy.
Data retention
We do not maintain a separate database. The primary record of your leads and their conversations lives in your Google Sheet, which you control entirely. If you revoke our Google OAuth access, the Service stops processing your data immediately. If you request deletion of your configuration data, we will delete it within 30 days.
Third-party services
The Service relies on the following third-party processors:
- Google LLC: Gmail API and Google Sheets API (your data is in your own Google account)
- Anthropic, PBC: AI language model processing for email classification and drafting
- Twilio Inc.: SMS delivery for agent notifications
We do not sell, rent, or share your personal data with any other third parties.
Your rights (PIPEDA)
As a Canadian resident, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA), including the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Withdraw consent and request deletion of your data
- Know what personal information we have collected and how it is used

Children's privacy
The Service is intended for professional use by licensed real estate agents. We do not knowingly collect personal information from anyone under the age of 18.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the Service after any changes constitutes your acceptance of the updated policy. For material changes, we will notify authorized users directly.
